Payments & revenue
Record cash and card on each booking, and track revenue, refunds and what's still owed.
Payments is your till’s ledger: every row is one movement of money on one board — a payment received, a refund given, or a visit put on the house. Five figures sit on top for the period you picked; the row-by-row list sits underneath. This page is for reading; money is recorded from the booking itself.
Important: the page covers one board. If you run two salons (two boards), each has its own ledger and its own figures — there is no combined screen.
1. Where the page is
- In the left rail, pick the board you’re working on.
- Click the Money row.
- In the left-hand column, under MONEY FLOW, choose Payments.
On a phone the column is hidden — a ‹ Money crumb appears at the top instead, and it takes you back to the other money pages.
The page title is Payments, and under it: “Cash & card flow across {board name} — record payments from each booking’s detail panel.” Top right there’s a Tour button that replays a short walkthrough of the screen.

2. The period you’re looking at
- The default period is today — from today to today.
- “Today” is decided by the board’s timezone, not by your phone’s clock. A payment recorded at 00:40 lands in the new day exactly as the salon sees it.
- Change the period with the date-range picker on the left of the filter bar.
- If you arrive from another screen (for example “Full ledger” inside Finish the day), the period already points at that day.
- The longest period allowed is 366 days. Anything longer returns an error — see “Troubleshooting”.
An old link carrying ?view=outstanding (from when this page had a second “Outstanding” view) now opens Who owes me.
3. The five cards on top
| Card | What it counts exactly | What it leaves out |
|---|---|---|
| Net revenue | Payments minus refunds for the whole period. Its hint reads “Payments minus refunds. Comps excluded.” | On the house entries (they are not money). Packages sold whose money hasn’t come in |
| Cash | Only amounts with method Cash | Everything else — card, online, package, mixed, no method |
| Card | Only amounts with method Card (i.e. taken at the desk and recorded by hand) | Card payments made through the booking site — those are method Online |
| Refunds | Total refunded in the period. The figure is positive and turns red once it is above zero | — |
| Who owes me | The number of people who owe you money — not an amount. Its hint reads “Clients with unpaid past visits — open the debt book”. It is clickable and opens the debt book | Debt is not limited to the chosen period — this count covers the whole board |
Three things that trip people up most:
- Cash + Card can be less than Net revenue. The other four channels (online, package, mixed, no method recorded) have no card of their own. The full six-way breakdown lives in Day report and Month report, in the “How the money came in” block.
- The cards ignore the filters below. They are computed over the whole period even when the list is narrowed to “Refunds” or to Cash only. That way you always keep the whole picture while looking at part of it.
- The cards are uncapped; the list is not. The list shows at most 500 booking rows plus 500 package-sale rows. In a busy month the visible rows legitimately won’t add up to Net revenue — pick a shorter period.
4. The ledger, row by row
| Column | What’s inside |
|---|---|
| When | Date and time of the payment, in the board’s timezone |
| Client | Name from the booking, phone underneath if there is one. For a package sale — the client’s name from their card |
| Booking | The service and the booking’s time. For a package sale — the package’s name. Hidden on a narrow screen |
| Kind | Payment (green), Refund (red) or On the house (grey). The Refund required badge shows up here too |
| Amount | Always a positive number with a sign in front: + for a payment, − for a refund, no sign for “on the house” |
| Method | Cash, Card, Online, Package, or — when no method was recorded. On-the-house entries never carry a method |
Sorting is newest first.
Clicking a row opens a panel on the right with the client, the service, the price and the Payment block — record, refund or undo from there without leaving the page. The arrow icon in the panel opens the booking in Schedule when you need to move it or change its status.
Two kinds of row behave differently:
- A package sale — money with no booking. It doesn’t open on click (there’s no booking to show) and it only counts toward Net revenue if the money for the package was actually collected. A package given away without payment stays in the list but stays out of the figures.
- A voided entry — not shown here. Voiding is a mistake fix: the entry stays in the booking’s own history (struck through, with no undo button) and drops out of every total. See Correcting a payment mistake.
5. The filters
The bar above the table holds, left to right:
- The date-range picker — from which date to which.
- Kind: All · Payments · Refunds · Comps. One at a time.
- Method: All · Cash · Card · Online · Package. You can tick several at once. Ticking all four snaps the filter back to All — it means the same thing.
- Refund required — a toggle with a counter that leaves only the problem rows.
The filters are not stored in the page’s address. If you want this exact view later, save the address with the dates (?from=…&to=…) — kind and method have to be set again each time.
6. “Refund required” — what it means
Sometimes an online payment lands after the slot has already been released (the booking was cancelled, or the client didn’t show). The money is with you and the service will never happen. Such a row gets:
- a pale red background in the list,
- a Refund required badge in the Kind column (hover it for the reason),
- a counter on the filter of the same name.
The system never returns that money on its own. The call is yours: refund the client, or keep it (as compensation for the missed slot, say). How refunds work — Refunds & cancellations.
The counter is computed over the loaded period. If you expect flagged rows and see none, widen the period.
7. The online-payments banner
When the board has no working online connection, a banner appears above the filters:
| State | Title | Button | Where it goes |
|---|---|---|---|
| Nothing connected | Online payments: not connected | Connect online payments | Setup → Integrations → Online payments (Stripe) |
| Connection restricted or switched off | Online payments: paused | Finish setup | the same provider page |
When the connection is active there is no banner.
Connecting is done per board, from Connect Stripe.
8. What this page does not do
- You don’t record a payment here. You record it on the booking — in the panel that opens when you click a row, or from Schedule. See Recording a payment.
- No row can be edited or deleted. The ledger is history. A mistake is fixed with Undo (a void) or with a new refund.
- It is not the file for your accountant. For a CSV use Money → Statement — see Statement — a CSV for your accountant.
- It shows no “expected” money. Only what actually came in and went out. What the finished work was worth is a separate figure — Revenue (closed) — and it lives only in the KPI strip above Schedule.
- It shows no expenses. Rent, supplies and salaries live in Money → Expenses.
- It doesn’t warn you when the list is cut. The 500-row cap is silent — in a busy month, split the period into weeks.
9. “Who owes me” and “Left unpaid” are different things
| Figure | Where it lives | What it measures |
|---|---|---|
| Who owes me | the card here and the debt book | People with unpaid past visits, with no period limit |
| Left unpaid | Day report and Month report | Money not collected for that specific period |
A client sitting in the chair right now who’ll pay in an hour is not a debtor — they become one when the visit is over (or when their day has passed).
10. Common questions
Why don’t the rows add up to “Net revenue”? Three legitimate reasons: the list is narrowed by a filter and the card isn’t; the list stopped at 500 rows; or the period holds a package sold with no money collected (listed, but excluded from the figure).
Why is a card payment under “Online” instead of “Card”? Card means “swiped at the terminal and recorded by hand”. Online means “paid through the booking site”. Two different rows, two different figures.
Is there any currency conversion? No. If the period holds amounts in another currency (after the board’s currency was changed, for instance), they are added up as they are. The reports say so with “This period also holds amounts in …”. See Your venue’s currency.
Who can see this page? Anyone with permission to view bookings. To record or undo a payment a person also needs permission to edit bookings. If the Money row is visible but the page errors, permissions are the reason. See Build a custom role.
Can I see who recorded a payment? Not in this list. The entry stores who made it, but the screen doesn’t show that field.
11. Troubleshooting
| What you see | Why | What to do |
|---|---|---|
| No payments — “No payments recorded in this range…” | The period really holds no movements, or the filters are too tight | Set Kind and Method back to All and widen the period |
| Couldn’t load — “Try refetching or pick a smaller range.” | A dropped connection, or a period longer than 366 days | Press Retry; if the range exceeds a year, shorten it |
| Figures don’t update after you record a payment | Money data refetches on an action, but not when you return to an already-open tab | Step the period back and forth, or reload the page |
| An empty Who owes me card showing ”…” | The debt book is still being computed (it’s a heavy query) | Wait a few seconds |
