Views & filters

Day or week, view by staff or resource, and filters by service and status.

The same day can be looked at in two completely different ways. Schedule is a grid — hours down, people across; it’s the right screen while the day is running. Bookings is a list — rows with checkboxes, filters and bulk actions; it’s the right screen when you’re hunting for something specific or processing many appointments at once. This article covers the views and filters on both pages and, most importantly, which one to use when.

Two pages, two menu rows. Schedule is the second row in the board menu, Bookings is the third. Don’t mix them up: in Schedule you drag and move; in Bookings you select and process.

2. The views in «Schedule»

Day and Week

The top bar has a Day / Week switch.

  • Day — one column per resource, hours down the side. The day isn’t fenced in: the page scrolls continuously back and forward through the days, and the date at the top updates by itself.
  • Week — seven day columns, each headed with its booking count. Clicking a day takes you back to Day view for that date.

The and arrows move one day in Day view and a whole week in Week view. The date in the middle is clickable — it opens a small calendar (Pick a date). The Today button returns to today.

«View by» — what the columns hold

If the board has more than one resource kind that can carry the columns (for example Masters and Rooms), a View by block appears in the side rail with a tile per kind. The choice changes what a column is.

If the board has only one such kind, the block isn’t rendered at all — there’s nothing to choose between. See Resource kinds & capacity.

The «one week for one person» view

This is the schedule’s hidden shortcut. In the side rail’s Resources list, click a name. Instead of leaving one column filling the screen, the view turns into a whole week for that one resource — days laid out across. Clicking the name again removes the filter and restores the normal view.

It’s the fastest way to answer “when is Maria free?”.

Zoom and full screen

A small bar floats at the bottom right:

  • Zoom, a percentage, + (or /Ctrl + the mouse wheel). It raises the height of one hour so 15-minute bookings are readable.
  • A full-screen button (shortcut f).
  • A keyboard button — opens the shortcuts list.

In Week view this bar isn’t shown.

3. The filters in «Schedule» — all of them are in the side rail

This is where most people get lost: the schedule filters are NOT in the top bar. They live in the collapsible side rail on the left, together with the legend.

The rail collapses with the small button at its top right (Collapse sidebar) and comes back with the arrow in the top bar (Open sidebar). The b key does the same.

The counter next to each resource in the Resources list does not count cancelled bookings. The same is true of the mini-calendar dots.

The branch

If the board has more than one location, a location pill appears in the top bar, defaulting to All branches. It isn’t a card filter in the usual sense — it changes which resources and hours apply to the day.

4. The «Bookings» page — a different instrument

Open it from Bookings in the board menu. The address is /w/<workspace>/records/<board>/bookings.

At the top sits the title Bookings, under it the board name and the current period, and on the right a counter (N bookings), a Tour button and New booking.

Row 1 — quick filters and saved views

Eight ready-made combinations, each of which applies a complete filter snapshot (and clears whatever it doesn’t set):

After them come your saved views (with a bookmark icon) and the Save view button.

On the right is the Search client… box. It is not the same as the schedule’s search: it goes to the server (after a short pause once you stop typing) and searches the client’s name, their phone and the service name across the whole selected period — not just the loaded rows.

Row 2 — the filter pills

Always visible, with no collapsing panel:

A pill fills with ink when its filter is set — so active filters read at a glance.

An important subtlety. The period, the status and the search go to the server. The rest — Staff, Service, Payment, Location, Source, Conflicts only — filter the rows already loaded. On a long period (Upcoming, Past, All) the page loads 50 rows at a time, so such a filter only sees what’s loaded. If you expect more results, press Load more or narrow the period.

Saved views

A filter combination you use every day can be saved:

  1. Set everything up — period, status, staff, service, payment, location, source, conflicts, even the search text.
  2. Press Save view.
  3. In the Save current filters dialog, type a name (up to 60 characters; the example reads “e.g. Emma · pending”) and press Save.

The view appears as a button next to the quick filters. One click applies it in full. Hover it and an × appears on the right, which deletes it (Delete “<name>”).

Saved views are shared across the board — your colleagues see the same buttons. Use clear names.

The list

Rows are grouped by day, with a heading of Today, Tomorrow, Yesterday or a date (e.g. “Wed, 15 Jul”) and a count beside it. Each row shows: the time, the status, a conflict badge if any, the payment state, a source icon, the client’s name, the service, a clickable phone number, the seat count for a group class, and Awaiting confirmation for pending ones. A coloured stripe on the left follows the status, and cancelled rows are dimmed.

Above the list sits Select all; tick at least one row and the bulk-action bar floats up at the bottom. See Check-in & no-show.

If any booking in the period is in conflict, an amber bar appears above the list: “N bookings have conflicts — check for double-booking or out-of-hours slots.”

5. What views and filters do NOT do

  • They change nothing about the bookings. A filter only hides rows.
  • They are not remembered between sessions — except saved views. Reopen Bookings and the period is Today again.
  • They don’t affect the public page. The client sees free times by their own logic.
  • They are not a report. The money figures live in the Money hub — see Day & month reports.
  • The schedule’s filters and the Bookings page’s filters are separate. What you set on one page does not carry to the other.
