The calendar (Schedule)
Your day and week in one place — view by staff or resource, filters and navigation.
The schedule is the screen your day happens on. It draws every booking as a card in the column of the staff member (or chair, room, court — depends on your board), lets you move bookings by dragging them, and opens any one of them with a single click. You reach it from Schedule in the board menu — the second row, right under Home.
A naming trap: in the menu the calendar is called Schedule. The row named Programs is something else entirely — it lives in the Catalog hub and handles recurring group classes. If you’re looking for today, open Schedule.

1. Getting to the schedule
- In the left rail, pick your board (if you have more than one).
- Click Schedule.
- The page opens on today, in Day view.
The browser address looks like /w/<workspace>/records/<board>/schedule. You can bookmark it — reopening it shows today, not the date you were last on.
2. The top bar — where you are in time
The bar above the grid holds only a handful of controls, and nearly all of them are about the date and the view:

On a narrow screen (phone, small tablet) the three secondary buttons — tour, classes and settings — collapse into a More options (⋯) menu on the right. The date, Today, the view switch and New booking always stay visible.
3. The side rail — filters, resources, legend
A collapsible rail sits to the left of the grid. Everything that filters or explains the schedule lives in it, not in the top bar. Top to bottom:
- Mini-calendar. The dots under the dates show how many bookings that day holds — the busier the day, the denser the dot. Clicking a date moves the schedule.
- Search clients, services… — free text. Hides the cards that don’t match.
- Filters — two dropdowns: All services (filter by service) and All statuses (filter by status). As soon as one is set, Clear all appears beside the heading.
- View by — appears only when the board has more than one resource kind eligible to carry the columns. This is where you choose whether the columns are staff, chairs, rooms and so on.
- Resources — the resources of the current kind, each with its booking count for the day. Clicking a name filters to that one resource; clicking again clears it.
- Legend — what each colour means.
You hide the rail with the small button in its own top-right corner (Collapse sidebar) and bring it back with the arrow that then appears in the top bar (Open sidebar). The b key does the same.

The hatched background isn’t a booking — it marks the hours in which that resource doesn’t work. You can book into it anyway; the schedule will only warn you.
Important: the schedule has no revenue strip and no cash counter. The day’s and month’s numbers live in the Money hub — see Finish the day and Payments.
4. Day view — the columns and the endless scroll
In Day view each column is one resource of the current kind, and the vertical axis is time. The day isn’t fenced in: the page scrolls continuously through days in both directions, and the date in the top bar updates itself as you scroll.
If you filter to a single resource from the Resources list, the view changes shape: instead of one column on a wide screen you get a whole week for that one person, with the days fanned out horizontally. It’s the fastest way to see one person’s load.
A small floating tool bar sits bottom-right:
- Zoom — −, a percentage, +. It stretches the height of an hour so short bookings become readable.
- A fullscreen button (key
f) — hides the whole app shell. - A keyboard button — opens Keyboard shortcuts.
5. Week view
Week view is for overview: seven day columns, each headed with its booking count (N bookings). Clicking a day takes you back to Day view for that date. The floating zoom bar isn’t rendered in week view — there’s nothing to zoom.
6. Working with cards
Opening one
Click a card and a Booking details panel opens on the right with everything about that hour: status, service, client, phone, question answers, price, payment, history (Activity) and the action buttons. That’s where you change the status, move the time, or cancel.
Under the client’s name there’s a View client link (when the booking is tied to a client record), and next to the staff member a View specialist link. The bottom line of the panel says where the booking came from: Booked by staff or Booked online, plus when it was created.
Creating from an empty slot
Click empty space in the right person’s column at the right time — the new-booking form opens with that resource and that time already filled in. If the spot is outside working hours, hovering shows Outside working hours — click to book anyway. Meaning: you can, but deliberately.
Moving by dragging
Grab a card and drop it on another time or in another person’s column. The change saves immediately and a toast appears: Booking moved. with an Undo button — press it if you dropped it wrong.
Cancelling by dragging
While you drag a card, a Drag here to cancel zone appears at the bottom. Dropping into it deletes nothing silently — it opens a confirm, Cancel this booking?: the client’s slot is freed, the booking is kept on record as cancelled, and it can’t be undone.

7. Double bookings — what the schedule does and does NOT do
This is the single most misunderstood thing in the product, so let’s be blunt about it:
The admin schedule does NOT stop you from double-booking. When you create or move a booking by hand, the system is permissive by default — it assumes you’re the owner and you know what you’re doing. Instead of blocking, it flags the clash:
- The card gets a red striped border and a Conflict badge.
- A banner appears above the grid: ”… time conflict detected on today’s schedule. Click a striped record to resolve.”
- The detail panel shows a red block: “Time conflict with another record on the same resource. Move one of them to resolve.”
There are only two cases where the system genuinely refuses:
- On top of a scheduled class. If the time overlaps a class using the same staff member / room / equipment, the booking is refused outright. There is no permissive mode for that.
- Public booking. A customer from outside can never double-book a person or a primary resource — that check is strict.
Beyond the hard conflict there are softer signals:
- Oversold (amber pill) — the resource pool is exhausted for that window, without one specific resource being double-booked.
- Double-booked — the same client is booked at the same time with a different resource. Not a salon error, but almost always a front-desk one. A N double bookings pill appears at the top of the day, explained as “A client booked with different resources at the same time.”
8. Public holidays
If the day (or a day in the visible week) is an official public holiday for the board’s country, an amber banner appears above the grid: “<Holiday> — a public holiday”, with a Set hours for this day button and a Hide button.
The banner is a warning only. A holiday does NOT close the salon by itself. If you genuinely aren’t working, click Set hours for this day — the working-hours screen opens with the date staged, where you close the day or set special hours. If you are working normally, click Hide and the banner won’t come back for that date.

Shortcuts don’t fire while you’re typing in a field — there the keys belong to the text.
10. If the schedule is empty or errors

11. What the schedule does not do
- It sends no email. A booking you type in sends the client neither a confirmation nor a reminder. Only bookings made through the public page trigger email. See Confirmations & reminders.
- It shows no money for the day. Neither revenue nor till on this screen.
- It doesn’t manage packages or memberships. A pack shows in the individual booking’s panel (Covered by pack), not in the grid.
- It won’t let you move a class to another day. Classes move only within the same day (“Classes can only be moved within the same day.”); for a different date you use the series editor.
- It doesn’t create a client from a name alone. For the client to stay in your list you need a phone number — see Add a manual booking.
