Your profile details
Name, photo and email — what your colleagues see and how to update them.
Your profile is four fields and one photo: First name, Last name, Phone, Email and an avatar. The name and photo are how colleagues recognise you inside the admin. Clients see none of it — a specialist’s public profile is a different thing entirely and is set up in the catalogue.
It all lives on one screen, and that screen has a real Save button. This article walks it field by field: what to type, what happens if you leave it empty, and which error messages you can hit.
1. Where to edit your profile
- Click your avatar at the bottom of the narrow icon rail on the left.
- Choose User settings.
- You land straight in the Personal section — everything in this article is there.

The card is called Personal information, and under the heading it reads “Your name and avatar. These are visible to your teammates.”
2. The four fields
| Field | Required | What to type | What it affects |
|---|---|---|---|
| First name | Yes | Your given name, as you want colleagues to see it (the placeholder shows “Ivan”) | Shown in the profile menu and in the Members list |
| Last name | Yes | Your family name (the placeholder shows “Petrov”) | Same — the two together form your display name |
| Phone | No | A work number, if you want colleagues to be able to ring you (the placeholder shows “+359 88 123 4567”) | Contact detail only. Not used for codes, never shown to clients, never texted |
| — | Not typed here. The field is greyed out | This is the address you sign in with. It changes via the Change button — see §6 |
A few details that save confusion:
- An empty first or last name blocks saving. The messages are “First name is required” and “Last name is required”, shown under the field in question.
- The phone check is deliberately lenient. An empty field is fine, and so is any number of at least 6 characters — digits, spaces, brackets, hyphens and a leading
+. Anything else gives “Enter a valid phone number”. The maximum is 32 characters. - There is no job title, role or bio field. Your role is assigned by an administrator in the workspace settings; the “About the specialist” text clients read belongs to a resource in the catalogue.
3. The photo (avatar)
The avatar sits at the top left of the card. Beside it is the label Avatar and the hint “PNG or JPG, up to 2 MB.”
To upload one:
- Press Upload photo (if you already have one the button says Replace photo).
- Pick a file from your computer or phone.
- The photo previews immediately and a blue line appears under the label: “Will be saved on Save changes”.
- Press Save changes.
To remove it:
- Press Remove. The line under the label becomes “Will be removed on Save changes”.
- Press Save changes.
If you picked a new photo and change your mind before saving, the button reads Discard — it simply throws the chosen file away and restores the previous photo.
The limits that actually stop an upload:
| What happened | Message |
|---|---|
| You picked something that isn’t an image (a PDF, a document, a video) | “Please choose an image file.” |
| The image is larger than 2 MB | ”Image must be smaller than 2 MB.” |
PNG, JPG, WEBP and GIF are accepted. If your photo is heavy, shrink it before uploading — the app does not compress it for you.
Note: the avatar belongs to the workspace, not to the account. If you’re a member of two businesses, you stay on initials in the other one until you upload a photo there too. Every other field in this article is shared everywhere.
4. Saving, cancelling, and what shows up straight away
Bottom right there are two buttons:
- Save changes — writes the fields and carries out the pending photo change. On success you get a “Profile updated” message.
- Cancel — puts the fields and the photo back to the last saved state.
Both stay disabled while there’s nothing to save. If the save fails (a connection wobble, say) you get “Couldn’t save changes. Try again.” — your typing stays in the fields, so just press again.
After a successful save the new name appears immediately in your profile menu and in the team list. Colleagues will see it the next time their page reloads.
5. Who sees the name and the photo
| Where | Visible? |
|---|---|
| Your own profile menu (name + email) | Yes — only to you |
| Members in the workspace settings | Yes — to colleagues allowed to see them |
| In the CRM area (Contacts, Deals, Tasks) as owner and comment author | Yes |
| In a booking’s history timeline | Not by name. It records only what kind of actor it was — staff, client or the system |
| The public booking page | No |
| Emails to clients | No |
If you want clients to see a specialist’s name, photo and introduction, that’s a different object — a resource in the “People” category in the catalogue. See A specialist’s public profile.
6. Email changes separately — and it’s self-service
The old rule “ask an administrator to change your email” does not apply. No administrator can do it. You do it yourself:
- Press Change next to the greyed-out Email field.
- Type the new address and press Send code.
- Fetch the 6-digit code from your new inbox and type it in.
- Press Confirm.
The full detail, the errors and the traps are in Change your sign-in email.
7. There is no password field
This screen has no new-password field, and won’t get one. The password only changes through Forgot password? on the sign-in screen — the steps are in Sign in & password.
Troubleshooting
I pressed Save changes and nothing happened. Look for red text under the fields — usually First name or Last name is missing, or the phone contains characters that aren’t allowed.
The photo uploaded but the old one is still showing. Reload the page. The photo’s address refreshes on save, but a very aggressively cached image in the browser occasionally lags one reload behind.
Uploading fails with an error on bigger files. The ceiling is 2 MB. Open the photo in your phone’s editor, reduce its size and try again.
I have no photo in my other workspace. That’s by design — upload it there as well.
Common questions
Can I have just a first name, with no surname? No. Both fields are required.
Will clients be notified if I change my name? No. The change is internal.
Can I change a colleague’s name? No. Everyone edits only their own profile.
Does the phone field get a text message? No. Mountify doesn’t send SMS at all. The field is purely a contact detail.
