Switch workspace

If you're in more than one workspace — how to move from one to another.

One account can belong to several workspaces — for example if you run two different businesses, or you’ve been invited into someone else’s. You switch between them without signing out and without a second password.

The switcher isn’t obvious: it’s a small square tile with the two initials of the current workspace, right in the top-left corner, and the list of workspaces sits one level down, in a submenu. That’s deliberate, so you can’t change business with a careless click.

1. Workspace, board, location — which is which

So: one workspace can hold several boards, and you can belong to several workspaces. In detail: Workspace, board, location — which do you need? and What a board is.

This article is about the top level — switching workspace.

2. Where the switcher is

  1. Look at the very top-left corner of the screen, above the narrow icon rail.
  2. There sits a dark square tile with two letters — the initials of the current workspace (say “BS” for “Bella Salon”).
  3. Click it. A menu opens whose top part shows the workspace name and its plan — for example Pro plan or Custom plan.

On a phone the tile is in the top bar of the slide-out panel — open the menu with the icon at the top left.

3. Step by step: switch workspace

  1. Click the monogram tile at the top left.
  2. Near the bottom of the menu click Switch workspace. The row has a right-pointing arrow — it’s a submenu.
  3. A list opens under the heading Workspaces. Each workspace shows a small monogram and its name; the current one carries a tick.
  4. Click the name of the other workspace.

Mountify loads the chosen business — its boards, team, services and bookings. You land on the new workspace’s home screen, not on the same page you were on.

If you see only one name in the list, you belong to only one workspace. That’s the normal state for most salons.

4. What else is in that menu

Besides switching, the menu is a shortcut to three workspace settings (not your account’s):

If one of them doesn’t show what you expected, most likely your role doesn’t grant that permission — see Roles & permissions and Who can manage the subscription.

Don’t mix up these two menus. The monogram tile at the top left is about the business. Your avatar at the bottom left is about you — that’s where User settings and Sign out are. See Your account.

5. “Create workspace” — and what it means for the bill

In the same Switch workspace submenu, at the very bottom, there’s a card with a plus: Create workspace, explained as “A separate business — its own boards, team & billing.” Clicking it takes you to the same wizard you used for your first one.

Before you click, know this:

6. You only see workspaces you’re a member of

The list isn’t a search box — it holds only workspaces where you have an active membership. A workspace appears when:

  • you created it, or
  • somebody invited you and you accepted the invitation.

If you expect a workspace and it isn’t there:

  1. Check your inbox for an invitation — spam folder included. It’s accepted by opening the link and pressing Accept.
  2. Check which address you signed in with. An invitation is only valid for the address it was sent to: on a mismatch you’ll see “This invitation is for a different account”.
  3. Ask the administrator to check the invitations tab and send a new one if the old has expired — Pending invitations.
  4. If you were deactivated or removed from the workspace, it disappears from the list. Only an administrator can bring you back.

7. What changes when you switch, and what doesn’t

That last row surprises people: if you uploaded a photo in only one workspace, you’ll be on initials in the other until you upload it there too. See Your profile details.

8. You can’t limit someone to one board

A frequent question: “I have two salons in one workspace. Can the receptionist see only her own?”

Short answer: no. The team and permissions belong to the workspace, not to a board. Anyone allowed to see bookings sees them across every board in the workspace. If the separation is non-negotiable, the only real route is a second workspace — with everything that follows from §5.

Troubleshooting

I clicked the tile but the menu is empty / shows ”…”. It’s still loading. Wait a second and try again; if it persists, reload the page.

I switched workspace and all my services are gone. They aren’t deleted — you’re in the other business. Go back through Switch workspace.

I can’t find “Switch workspace”. You’re in the wrong menu. It’s in the menu of the monogram tile at the top left, not in your avatar’s menu at the bottom.

I sign in and land in the wrong workspace. The last one you used opens. Switch once and from then on the new one opens.

Common questions

Do I have to sign out to switch workspace? No. Switching happens inside the app.

How many workspaces can one account have? There’s no practical limit, but each one needs its own subscription.

Can I move a board from one workspace to another? No.

Can I hand ownership of a workspace to someone else? No. There is currently no ownership transfer. See Roles & permissions.

Can others see which workspace I’m in? No.
