Change your plan
Move to a bigger or smaller plan — what changes and when it takes effect.
You can change plan at any time and none of your data is lost. But how you do it depends on the state of your subscription: on a trial you pick the plan inside Mountify, while on a live paid plan the change goes through Stripe’s billing portal. And downgrading has consequences you should know about first.
1. First: which state are you in?
Open Settings → Workspace settings → Subscription & billing and look at the badge in the side panel.
| State (badge) | How the plan changes | What the button on a plan card does |
|---|---|---|
| Trial | You pick a plan card in Mountify and go through checkout | Select plan / Selected — a real choice |
| Active | Through Stripe’s portal | Upgrade → opens the portal |
| Past due | Through Stripe’s portal (fix the card first) | Fix payment in the panel |
| Expired / Canceled | A fresh checkout (portal, if you’ve paid before) | the cards aren’t selectable — see §7 |
Why: a paid subscription lives in Stripe. A fresh checkout from Mountify would create a second subscription and a double charge, so the price change is made inside the existing subscription — in the portal. The panel says it plainly: “Your plan renews automatically. Changes go through the Stripe billing portal.”
2. Changing plan during the trial
- Open the Subscription & billing page.
- At the top, choose the cycle — Monthly or Yearly.
- Click the card of the plan you want. It gets outlined, its button reads Selected.
- Check Your limits and the After your trial block in the side panel.
- Press Continue with {plan} — {price}.
- Pay on Stripe’s page.
You can change your mind as often as you like before paying — nothing is charged.
3. Changing plan on a paid subscription — step by step
- Open Subscription & billing.
- At the bottom of the side panel press Manage billing.
- Stripe’s portal opens (in your language, with your invoices and cards).
- Choose the action for changing your subscription plan and pick the new plan (and cycle, if you’re changing that too).
- Confirm. Stripe works out the prorated difference and invoices it immediately.
- Return to Mountify (the Return button in the portal). For a few seconds the panel says “Updating your subscription…”, then the plan and limits are the new ones.
The portal is Stripe’s screen, not Mountify’s. Which actions it offers is configured centrally; if you can’t find a plan change there, contact support — we’ll do it from our side.
4. When it takes effect and how the difference is paid
- Immediately. New limits and features apply the moment Stripe accepts the change (plus the seconds it takes to sync).
- Upgrade: you pay a prorated amount for the rest of the period at the new price. The invoice is raised right away.
- Downgrade: the unused part becomes account credit applied to your future invoices. It is not refunded to your card.
- Your renewal date doesn’t move — it stays as shown (“Renews on {date}”).
5. What a downgrade does (the important part)
A downgrade is not harmless. Here’s what happens automatically:
| What | What the system does |
|---|---|
| Too many bookable spots | Switches off the newest resources until you fit the cap. The oldest stay active |
| Too many locations | Switches off the newest locations; the primary and oldest ones stay |
| Features the new plan lacks | They lock (a Locked badge + an Upgrade plan link). Data stays, but you can’t create new items |
| An add-on the new plan now includes | It’s removed from the subscription so you don’t pay twice |
| Bookings, clients, money | Nothing is deleted |
Two important asymmetries:
- Locations come back by themselves on your next upgrade (oldest first).
- Resources do NOT come back. Switched-off specialists/chairs must be re-enabled by hand, because the system can’t tell “switched off by the downgrade” from “switched off by you on purpose”. Open Catalog → {resource kind} and put the Available for booking switch back on.
Before you downgrade: open the resource-kind page and look at the “N / M spots” chip. If N is higher than the new plan’s cap, decide yourself which resources to switch off — otherwise the system switches off the newest ones, and those may be exactly your busiest people.
6. Sometimes an add-on is enough
If you need “a bit more” rather than a whole bigger plan, do the maths:
| Need | Add-on | Next tier |
|---|---|---|
| One more specialist on Start | +€7/mo (€16 total) | Growth €29/mo |
| Three more specialists on Start | +€21/mo (€30 total) | Growth €29/mo — already cheaper |
| One more branch on Growth | +€9/mo (€38 total) | Pro €49/mo |
| Group classes on Growth | +€12/mo (€41 total) | Pro €49/mo (which also includes CRM) |
How add-ons are bought: Add spots & locations.
7. If the subscription has stopped (“Expired” / “Canceled”)
The page then behaves differently: the plan cards are not selectable, and the big panel button offers checkout with Pro.
- If you want Pro again — just press the button and pay.
- If you want a different plan (say Start), open the portal from the cards or contact support — the exact plan can be chosen in the portal. (We know this is awkward and it’s on the fix list.)
What exactly stops while a subscription is down: What happens if the subscription stops.
8. Common questions
Will I lose data when I change plan? No. Boards, services, clients, bookings, payments and reviews stay. A downgrade only switches off over-cap resources/locations and locks features.
Can I move from monthly to yearly? Yes — from the portal. Stripe credits what you’ve already paid, prorated.
Will you refund me on a downgrade? The difference becomes credit against future invoices, not a card refund.
Who can change the plan? Only someone with the Manage workspace settings permission — see Who can manage the subscription.
Does changing plan affect client online payments? No. Deposits and client card payments are on every plan and run through your own board-level Stripe connection.
Can I have different plans for different boards? No. One subscription covers the whole workspace.
9. Troubleshooting
| What you see | Why | What to do |
|---|---|---|
| Clicking a plan card does nothing | On a paid plan the cards aren’t selectable | Use Manage billing |
| An error when opening the portal | There’s no real Stripe subscription for this workspace | Read the note in the panel; on a complimentary workspace there’s nothing to manage |
| “Plan limit reached” when activating a resource | You downgraded and are at the cap | Switch another resource off, or add a spot — Plan limits |
| After the change the panel still shows the old plan | Waiting for Stripe’s confirmation | “Updating your subscription…” for up to 45 s, then reload |
| Specialists disappeared from the schedule after a downgrade | They were switched off automatically to fit the cap | Re-enable them from Catalog → {resource kind} |
| You’re paying for an add-on the new plan includes | Rare: the duplicate line wasn’t shed | Switch the add-on off on the page — you’ll get credit |
What’s next
- Plan limits and what gets locked — the two numbers and the locked features.
- Add spots & locations — the cheaper alternative to a tier bump.
- Payment & invoices — the portal, the card and the invoices.
- Cancel or pause — if you want to stop rather than switch.
