Who can manage the subscription

Billing needs the workspace-settings permission — what someone without it sees, and how to grant it.

Billing is governed by one permission: Manage workspace settings. Whoever has it can pick a plan, buy add-ons, open Stripe’s portal, change the card and cancel. Whoever doesn’t sees the same page, read-only. By default only Owner and Admin hold it.

1. The permission that opens billing

In the permission list it’s called Manage workspace settings, and the description under it reads “Branding, integrations, custom fields.”

Careful: that description does not mention the subscription, yet this is exactly the permission that opens billing. Grant someone “Manage workspace settings” so they can fix your branding, and you also hand them the card, the invoices and the ability to cancel.

The same permission also opens:

  • renaming the workspace;
  • Delete this workspace (the danger zone);
  • integration settings and custom fields.

2. Who has it by default

3. What someone without it sees

The Subscription & billing page opens for everyone — it isn’t hidden. But:

  • under the side panel it says: “Read-only — you can’t manage the subscription. Contact an Owner or Admin.
  • the buttons on the plan cards are disabled, with “Requires the manage workspace settings permission.” underneath;
  • add-on steppers and switches are disabled;
  • the Manage billing / Continue with … button is disabled.

One confusing detail: the warning strip is shown to everyone. A receptionist will see “3 days left in your trial” with an Upgrade button, click it, and land on a page where they can do nothing. That’s by design — the point is that they tell you, not that they pay.

4. How to grant it

Option A — to one person:

  1. Settings → Workspace settings → Users & Permissions.
  2. The Members tab.
  3. Click the role chip on that person’s row (not the ⋯ menu).
  4. The Permissions · {name} dialog opens.
  5. Find Special permissions and switch on Manage workspace settings.
  6. Save.

Option B — to a whole role:

  1. Users & Permissions → the Roles & Permissions tab.
  2. Open the role (or create one with New custom role).
  3. Under Special permissions switch on Manage workspace settings.
  4. Save — it applies to everyone with that role.

Don’t grant this permission “just in case”. If someone only needs to manage banners or integrations, know that they get billing too. If that’s not acceptable — make the change yourself.

5. Billing ≠ client online payments

The most common confusion in this area. Two different things with two different permissions:

6. Stripe’s portal covers the whole business

The Manage billing button opens the portal for one Stripe customer = one workspace. Whoever opens it sees every invoice, every card and the billing details for the entire business — there is no partial “just my invoice” access.

That’s why this access normally belongs to the owner and the bookkeeper, not to the whole team.

7. If the owner leaves

Mountify has no ownership transfer. The Owner can’t be deactivated or removed by another member.

The practical route:

  1. The owner gives the new person the Admin role (or a custom role with Manage workspace settings).
  2. The new person changes the card and billing details in the portal.
  3. The old owner stays on the list but can be moved out of the workflow (a role without powers).

If that isn’t enough (a business sale, say), contact support.

8. Common questions

Is there a separate “manage billing” permission? No. Manage workspace settings is used.

Does Admin really have the same rights as Owner? Yes — by default Admin holds the full permission set. The difference is that the Owner can’t be deactivated or removed.

Can my accountant see only the invoices? Not from Mountify — for billing it’s all or nothing. Safer to forward them PDFs from the portal.

Is the page hidden from people without the permission? No. It opens, but read-only.

Can a Member buy an add-on? No. They’ll see “Requires the manage workspace settings permission.”

Who gets the invoice emails? The address entered at checkout in Stripe. It’s changed from the portal and has nothing to do with Mountify roles.

Does every workspace have its own subscription and its own permissions? Yes. Permissions are per workspace — you can be Owner in one and Member in another.
