Plan limits and what gets locked

The two numbers that count — bookable spots and locations — which features are plan-gated, and when an add-on beats a tier bump.

Your plan caps exactly two numbers — how many bookable spots and how many locations you can have active — and it unlocks or locks certain features. Everything else is unlimited: boards, bookings, clients, services, users. This article explains how the two numbers are counted, what happens when you hit the ceiling, and what a locked feature looks like.

1. The two numbers

Both can be raised with an add-on: Extra bookable spot (€7/mo per spot) and Extra location (€9/mo per site). See Add spots & locations.

Your current caps live in the side panel of Settings → Workspace settings → Subscription & billing, block Your limits. Add-ons print as “base + N extra”, and ∞ means no limit.

2. What a “bookable spot” actually is

A bookable spot does not mean “employee”. It means a unit of capacity that can be booked. The rules:

  • A resource counts if it can perform at least one active service as its main provider (the person/chair/room that decides how many people can book at once).
  • It only counts if it is active (the Available for booking switch) and not archived.
  • Stock count counts: a “Court” resource with a stock of 4 uses 4 spots.
  • A resource that is only a support requirement for a service (an “always included” extra, say) still uses a spot if it is the main provider for another service — but it is never counted twice.
  • The count covers the whole workspace — all boards together.

3. Where you see your usage

  • Catalog → {resource kind}: a chip at the top reading “N / M spots” with the tooltip “N of M bookable spots are active on your plan.” On an unlimited plan: “Active bookable spots. Your plan has no limit.”
  • Catalog → Locations: a “N / M locations” chip with the tooltip “N of M locations are active on your plan.”
  • Subscription & billing: the Your limits block (the single source of truth).

4. When you hit the spots cap

You try to activate one more resource and one of two things happens:

A. From the resource list — the Active switch won’t turn on, and the tooltip says: “You’ve reached your plan’s bookable-spots limit. Deactivate another resource or upgrade your plan to activate this one.” A toast appears too: “You’ve reached your plan’s {N} bookable spots — upgrade to add more.” with an Upgrade plan button.

B. From the resource/service editor — saving raises a Plan limit reached error: “You’ve reached your plan’s limit of bookable spots, so this resource was saved as inactive. Archive one you’re not using, or upgrade your plan.”

Note the difference: the resource is saved, it just stays inactive. You don’t lose the work you put into it.

Three ways out:

  1. Switch off another resource you’re not using (or archive it).
  2. Buy an “Extra bookable spot” add-on (€7/mo).
  3. Move to a bigger plan, if you need several spots at once.

5. When you hit the locations cap

Behaviour here is different: a location simply isn’t created if you’re at the ceiling. You get “You’ve reached your plan’s {N} locations — upgrade to add more.” with an Upgrade plan button, and the dialog stays open.

Ways out: delete/deactivate a branch you don’t need, buy an Extra location, or move to Pro.

Locations are also counted across the whole workspace — two boards with one location each already use 2 of the cap.

Deposits and branding are on every plan, Start included. If you read anywhere that “deposits start from plan X” — that’s wrong.

7. What a locked feature looks like

A locked thing doesn’t vanish — it stays in place, dimmed and unclickable, with a small padlock in the corner. Click the padlock and a bubble opens: “{Feature} is available on a higher plan. Upgrade to unlock it.” with an Upgrade plan link (crown icon) that goes straight to the subscription page.

In some places you just get a Locked label + an Upgrade plan link.

CRM is a special case: the left rail shows an upgrade card instead of the CRM pages themselves.

No data is deleted when a feature locks. If you were on Growth with packages and move to Start, the packages you already sold stay in the database — you just can’t create new ones.

8. What is NOT capped

  • Boards — as many as you like.
  • Bookings — no limit.
  • Clients — no limit.
  • Services, groups, rentals — no limit.
  • Users (people who sign in) — free and unlimited. See Does adding a teammate cost extra?.
  • Reviews, banners (by count), photos — no plan limit.

9. Locked ≠ lapsed

Two different things that get mixed up:

10. Common questions

Can I have 20 specialists on Pro? Pro gives 15. For 5 more, buy 5 × “Extra bookable spot” (€35/mo) or talk to us about Custom.

Does an archived specialist use a spot? No. Neither archived nor switched off.

If I make a service inactive, do spots free up? They can — only resources that serve at least one active service are counted. If a resource no longer serves any active service, it stops using a spot.

Do clients or team members count toward the cap? No.

One board = one location? No. A board can have several locations; the cap is on locations, not boards.

How do I find which resource is using a spot? Look at the “N / M spots” chip on each resource kind and compare the active rows. A resource with a stock above 1 uses proportionally more.

Can add-ons give me a feature from a higher plan? Only two of them: group classes and CRM. Packages, banners, loyalty and import come only with the plan.
