Pending invitations

The Invitations tab: the five statuses, resend, cancel, expiry, and what goes wrong on the recipient's side.

You’ve sent an invitation and now you’re waiting. This article is about the tab where it sits in the meantime — Invitations. It shows whether it went out, how much time is left, and it’s where you resend and cancel. If you’re looking for the invited person under Members, you won’t find them — and that’s normal.

One rule: until they press Accept, the person is a row under Invitations, not Members. There is no “invited” status in the members list.

1. The Invitations tab

  1. Click the business monogram tile at the top of the narrow rail on the left → Members. (Or: Workspace settingsUsers & Permissions.)
  2. Open the Invitations tab.

The number beside the tab name is the count of invitations with status Sent — not the total number of rows.

The table has these columns:

2. The five statuses

Expired, Declined and Cancelled rows are dimmed but stay in the list as history.

How “Expired” happens. An automatic sweep once an hour flips past-due invitations to Expired. On top of that, if the recipient opens an expired link the status flips immediately. If you see Sent with “expired” next to it, the hourly sweep simply hasn’t run yet.

3. The actions are two icons, not a ⋯ menu

At the right end of a row sit up to two small icons — there is no ⋯ menu here:

  • the circular-arrows iconResend;
  • the × iconCancel.

Both require the Manage members & permissions permission. Without it the rows are visible but there are no icons.

4. What “Resend” actually does

Press Resend and the invitation is fully rewound:

  1. A new link is issued. The old one stops working immediately — if the recipient already opened the old email, they’ll have to use the new one.
  2. The status goes back to Sent.
  3. The window becomes 7 days from now — no matter which window you picked when you first sent it. If you chose 30 days, after a Resend there are 7 left.
  4. The Sent date is updated to now.
  5. The email goes out again.

The permissions stay the same. Resend is not a way to change what the person will be able to do — for that, cancel the invitation and send a new one.

There is no success message. After the click the row just refreshes. If the status and date changed, it worked.

Resend works on an Expired invitation too — that’s the standard way to revive one. The only status you can’t resend is Accepted.

5. “Cancel” — how to kill an invitation

  1. Click the × icon on the row.
  2. A confirmation appears: “Cancel this invitation?” with the line ”… will no longer be able to join with this link.”
  3. Click Cancel invitation.

The status becomes Cancelled and the link stops working. If the recipient opens it afterwards they see “This invitation was cancelled”.

A cancelled invitation cannot be un-cancelled. To invite the same person again, send a new invitation — and you can give different permissions this time.

6. How long an invitation lasts

The window is set when you send it, in the Permissions step, in the Invitation expires in field:

After expiry the link stops working, but nothing is lost — Resend is one click away.

7. What can go wrong on the recipient’s side

8. An invitation belongs to one exact address

This is the most common cause of tangled cases. An invitation can be accepted only by an account whose email matches the address on the invitation.

  • Upper and lower case don’t matter — Ivan@… and ivan@… are the same thing.
  • A different domain or a different mailbox does matter. [email protected] cannot accept an invitation sent to [email protected].
  • If the person already has a Mountify account on a different address, the cleanest fix is to cancel the invitation and send a new one to the address they actually sign in with.
  • If their account is brand new and has no email on the profile yet, Mountify adopts the address from the invitation — that case goes through smoothly.

Common questions

Can I see the accept link so I can send it over WhatsApp? Not from the list. The list deliberately doesn’t expose the link itself. Use Resend and let the email do the job.

Can I change the permissions on an invitation I already sent? No. Cancel it and send a new one with the permissions you want.

Can I see whether the email arrived? No. The list shows the invitation’s status, not email delivery. If the person got nothing — Resend.

Why does the sender column read “by —”? A known cosmetic gap: the sender’s name isn’t resolved in this list. The rest of the row is correct.

Can I invite 20 people at once? Yes. One send accepts up to 50 addresses; each becomes a separate row here.

I invited someone who is already a member. What happened? Nothing — Mountify silently skips the address and no new row appears. Look them up under Members.

I tried the same address twice. Will there be two invitations? No. If a pending invitation already exists for that address, the second one is skipped.
